About the Role

As an Admin Assistant, you will provide comprehensive, high-level administrative support to the Director of Hotel and Entertainment Operations as well as broader support to the shoreside Operations Team in Singapore. This role requires a proactive, highly organized, and detail-oriented professional who thrives in a dynamic, fast-paced environment. You’ll use a mix of business acumen, relationship management, operational planning, and problem-solving skills to ensure seamless day-to-day operations and exceptional service delivery across both Hotel and Entertainment functions.

Responsibilities:

  • Prepare executive-level presentations, letters, spreadsheets, agendas, meeting materials, and departmental communications
  • Provide direct administrative support including managing complex calendars, meetings, travel arrangements, and expense reports
  • Provide administrative support to the Director of Hotel Operations and Entertainment Operations during their on-site engagements in Singapore or aboard Disney Adventure
  • Serve as the primary point of contact for all office administrative responsibilities including phones, supplies, onboarding logistics, and correspondence
  • Manage logistics for consultants including travel, payments, and contractual obligations
  • Liaise with Immigration Compliance, and input/manage visitor/vendor information in systems such as SSG, SVAM, IRGS
  • Support onboarding, transfers, and separation processes for new and current cast/crew
  • Maintain company vehicle schedules and coordinate procurement needs (laptops, phones, etc.)
  • Provide backup support for department coordination during emergency procedures and act as the Record Information Management (RIM) Coordinator
  • Assist with event planning, event setup, and package receiving as needed
  • Exercise sound judgment in prioritizing tasks and anticipating the needs of leaders and team members
  • Partner with Operations Assistants across the fleet, contributing to ongoing process improvements
  • Handle special tasks and high-priority projects as requested
  • Manage all responsibilities with the highest level of discretion and confidentiality

Required Qualifications & Skills:

  • Minimum 5 years of experience supporting business executives in large organizations
  • Strong organizational and multitasking skills with extreme attention to detail
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Familiarity with SAP
  • Demonstrated ability to navigate complex schedules, prioritize independently, and remain flexible under pressure
  • Excellent verbal and written communication skills
  • Proven interpersonal and consultative skills with a collaborative, positive approach
  • Ability to manage multiple ongoing projects with efficiency and professionalism
  • High degree of discretion in handling sensitive and confidential matters
  • Passion for providing exceptional service to both internal teams and guests

Education:

  • Required: High school diploma or equivalent work experience
  • Preferred: Bachelor’s degree
